How to Assign Brother QL-820NWB/QL-820NWBc Printer to a Kiosk via Wi-Fi

NOTE: The Brother QL-820NWB / QL-820NWBc are the only label printer officially supported by CrisisGo for Wi-Fi printing. Other models may work but are untested, and we cannot guarantee compatibility or provide support for their Wi-Fi printing.

For all other label printers: You can assign the printer to a specific kiosk via the CrisisGo PC App. Here's how: How to Assign a Label Printer to a Kiosk

1. Prerequisites

  1. Your kiosk devices have been successfully connected to the CrisisGo GateKeeper system and are ready for use.

  2. You have correctly installed all required CrisisGo-compatible Brother printer drivers and SDKs by following this guide: Installing Brother Label Printer Drivers and SDKs. Be sure to especially install the b-PAC SDK listed in the guide.

  3. We assume you have a basic knowledge of how to use the Brother Label Printer and have read its User Manual.

STOP: Before proceeding, please ensure that all of the above conditions have been met; otherwise, you may encounter unexpected issues.

2. Connect the Printer to the Same Network as the Kiosk

Once your kiosk is ready, the next step is to connect your label printer to the same Wi-Fi network as the kiosk device. Here's how:

2.1. Set the Printer to Infra/Direct Mode

  1. On the label printer, press the "Menu" and ▼ buttons to select the "WLAN" menu, and then press the "OK" button.

  2. Press the ▼ button to select the "Network Mode" menu, and then press the "OK" button.

  3. Select the "Infra/Direct Mode", and then press the "OK" Button.

2.2. Connect to the same Wi-Fi network

Once the printer is set to "Infra/Direct Mode", it's time to connect it to the same Wi-Fi network as your kiosk. Here's how.

1. Press the "Menu" and buttons to select the "WLAN" menu, then press the "OK" button. Locate and set "WLAN (On/Off)" to "On".

2. After turning WLAN "On", you will be routed back to the "WLAN" menu. Press the button and select "Infra Manual Setting".

3. The printer will then search for available Wi-Fi networks (SSIDs). Press to locate your Wi-Fi SSID, then press "OK". If both 2.4GHz and 5GHz networks are available, select the 2.4GHz network. You will then be prompted to enter the Wi-Fi password. Once you've entered the full password, press "OK" button twice to confirm.

TIP: While entering the password, press the "Menu" button to switch between letters, numbers, and symbols. Use the arrow buttons to select characters, and press "OK" to enter.

4. Finally, when the connection between the label printer and your Wi-Fi access point/router is established, "Connected!" will appear on the LCD.

BEST PRACTICE: To achieve the best results with normal everyday document printing, use the Label Printer as close to the Wi-Fi access point/router as possible with minimal obstructions. Large objects and walls between the two devices as well as interference from other electronic devices can affect communication, or the data transfer speed of your documents.

Now that the label printer is on the same Wi-Fi network as the kiosk. Please refer to the next section for instructions on how to assign this printer to the kiosk device.

3. Assign the Printer to Kiosk

After you have connected your printer to the same network as the kiosk device, it's time to assign the printer to the kiosk.

1. On the home page of your kiosk, press and hold the QR code in the bottom-right corner for approximately 6 seconds until the prompt appears.

2. In the "Settings" prompt, select "Set Printers".

3. On the "Set Printers" page, enter the maintenance passcode for this kiosk and click "Continue".

TIP: If you've forgotten the kiosk maintenance passcode, sign back in to the Safety iControl and navigate to GateKeeper > Settings > Kiosk. In the Kiosk List, locate your kiosk name and click the closed eye icon to view the passcode.

4. On the "Set Printers" page, select "Visitor Badge" or "Tardy Slip" based on your usage.

5. On the next page, the kiosk will scan the Wi-Fi network and list all available label printers on the same network. Select one of your printers to continue.

6. Finally, the kiosk will connect to the selected printer. A "Test Print" button will appear on the printer card—click it to print a test badge and ensure the printer is working properly and printing from the correct device on the network.
